First year Parent-Teacher meeting

Parents/Guardians – Hard copies of your appointment schedules for the 1st year parent-teacher meeting have been distributed to students.
All who have registered still have the choice of attending in-person or online or a mix of both – to maximise access to the meeting, you have been set-up for either option and we do not need to know in advance. A teacher will expect to see you at your appointment time either at their room or in the virtual waiting room on their laptop.
In-person attendance:
Teachers will be in various classrooms throughout the school building. Please bring your list of appointments with you and you will receive a map of the school and a list of what rooms each teacher has been assigned to. You will then make your way to/from various classrooms in line with your schedule/list of appointments.
Teachers have appointments every 5 mins and these may be in-person or online. The school bell will sound at 5 minute intervals to support all in ensuring that no appointment runs over time. If you join online, you will also hear this if you are still in a meeting when the time runs out.
Please note that appointment slots are max 5mins long – even if your son/daughter has the same teacher for more than one subject. This is to ensure that the maximum number of parents/guardians have the opportunity to meet teachers. You may not have been assigned an appointment for every teacher as some teachers teach more than one class group and/or subject in first year. If you have not been assigned an appointment for a particular teacher and you would like to speak with him/her, please leave a message with the school office and he/she will make contact with you in the near future.
Whether attending in-person or online, meetings cannot exceed five minutes. If you or the teacher feel that you require more time, an appointment or follow-up phonecall can be arranged.
Online attendance:
Any one attending online, please note that online meetings will be conducted via your son/daughter’s teams account only. Teams can be accessed easiest by logging onto www.lcetb.ie – then click on microsoft 365, then click on teams. You will need your son/daughter’s username e.g. 22.joe.bloggs@learner.lcetb.ie and his/her password. Please get these details from your son/daughter in advance and do a trial run.
Please check the device you will use for meetings in advance. Please ensure that it is fully-charged and that camera and microphone/speaker are working correctly. You may wear headphones/earphones if you wish.
When you have logged successfully into your son/daughter’s Teams, you will see a number of teams named ‘1st yr PTM + teacher name’. These ‘1st yr PTM’ teams have been set-up specifically for the meeting and these are the only teams you will need to click on in order to present for your appointments.
Think of each of these ‘1st yr PTM (name of teacher)’ teams as a room which you will visit to meet with the teacher named at the time assigned on your appointment list. Once you finish in one team/room, you will leave and click into another ‘1st yr PTM’ team etc.
When you click into a team, you will see that a meeting is in progress. Click on ‘Join’ and you will be admitted to the waiting room. The teacher will admit parents/guardians from the waiting room in line with schedule. After each meeting, leave that team and return to main screen where you can see all teams. Click into the next ‘1st yr PTM (name of teacher)’ team on your schedule.

Parent-Teacher Meeting Protocols:

1.We in Scariff Community College are committed to working together in maintaining a workplace environment that encourages and supports the right to dignity at work.
2. As partners in education, parents/guardians and staff are expected:
To treat each other with respect at all times.
Not undertake any actions that may bring the school into disrepute.
Respect the right to privacy of all other members of the school community.
Behaviour Online using our school platforms is covered by the Schools AUP.
3.Parents/Guardians are invited to attend our Parent Teacher Meeting in-person or online and are advised that due to the number of students in the year group the time available is limited and that each meeting cannot take longer than 5 minutes.
4.When attending online, Parents/Guardians are asked to choose a quiet, neutral venue where they will not be disturbed.
5.To help teachers identify you in the waiting room/lobby ensure you are logged on via your child’s school TEAMS account. (Online meetings)
To help teachers who have a full evening of meetings in quick succession, please introduce yourself on entry to the meeting and confirm your child’s name even if you and the teacher know each other. (In-person meetings)
6.Please turn on your camera before you join the meeting. Teachers may not participate in meetings where they cannot identity the parent/guardian. (Online meetings)
7. Any persons attending the meeting should be identified at the start of the meeting and be visible on camera. If your son/daughter is present/within earshot, please make this known to the teacher. (Online)
8.Recording of meetings in any format (except to take notes), whether online or in-person is prohibited:
a.recording, saving or capturing any audio, video, or any other data/information or image during the meeting is not permitted
b.any unauthorised recording or live streaming of the meeting or any aspect of the meeting to another location is not permitted
c.if someone accidentally records, saves or otherwise captures any data/information/image etc., s/he must immediately advise the other party and the recording must be deleted and confirmation of this provided to the other party.
d.the invitation to the meeting, the link to, or password for, the meeting must not be forwarded to any other person/third party.

If for any reason you are unable to attend the PT meeting as planned, please contact the school office so that we can redistribute appointments to anyone on a waiting list to meet a teacher. We are looking forward to meeting you all – whether inperson or virtually.
